Cryolab Publishes Guide to Relocating an IVF Cryostore Without Losing a Sample

S For Story/10706621
Cryolab has published practical guidance for IVF clinics moving their frozen embryo, oocyte and sperm store to new premises, covering regulatory approval, inventory reconciliation, dry shippers, witnessing and commissioning the new store.

WEST SUSSEX, U.K. - s4story -- Chichester, England: Cryolab Ltd, a specialist supplier of cryogenic equipment and consumables to IVF clinics, biobanks and research laboratories worldwide, has published a new guide for fertility clinics planning to move their frozen store.

Most IVF laboratories relocate their cryostore once in a generation, whether for a new building, a hospital redevelopment, a merger or a move to larger premises. Every embryo, oocyte and sperm sample has to leave one room and arrive safely in another, often on behalf of patients who are not in active treatment. Few teams have done it before, and there is no second attempt at a sample lost in a move.

The guide covers:

Regulatory approval first. In the UK, an HFEA licence is granted in respect of specified premises, and the HFEA publishes its decisions on variations of premises. Clinics should involve the regulator early, as approval timescales often set the date of the move.

Inventory reconciliation. Every vessel should be matched against the storage records before any dates are fixed, which also shows exactly how much material has to travel.

Moving samples or moving vessels. Full vessels should only be moved over short, level, controlled routes. Moves between buildings or sites normally use charged dry shippers.

Sizing the shipper fleet. Match shippers to existing canister formats, plan spare capacity and fit temperature data loggers to every load.

Commissioning the new store first. Receiving vessels should be filled, monitored and stable, with alarms, nitrogen supply and oxygen monitoring in place, before anything arrives.

Identification and witnessing. Each load needs its own contents list and witnessed transfers out of the old vessel and into the new one, followed by reconciliation before the next load moves.

"A relocation is really dozens of small transfers, and each one has to be as controlled as the first," said a Cryolab spokesperson. "The clinics that move cleanly are the ones that count everything first and commission the new store before a single sample leaves the old one."

Cryolab has supplied the IVF, biobanking and research sectors since 2000. Founder Paul Hague has more than 40 years' experience in cryogenic equipment, and the company holds ISO 9001:2015 certification. Standard UK stock is delivered next day, and Cryolab supplies clinics worldwide.
